Tracy Roberts
City Clerk
Tracy Roberts started her career with the City of Galena as Treasurer in 2006. She was promoted to Assistant City Clerk in 2017. On August 5, 2024 Tracy was promoted to City Clerk. She received her certification as a Certified Municipal Clerk from Wichita State University in October of 2022. She continues her education with WSU, CCMFOA, and IIMC. Tracy also volunteers as Chair of the Parks N Rec Committee. The Parks N Rec committee hosts city events and fundraisers to promote and upgrade our City Parks.
The City Clerk coordinates, and oversees the City Clerk operations; Prepares, posts, and distributes City Council agendas and other board and council meeting agendas; Performs follow-up activities resulting from Council meetings, including ensuring that resolutions, ordinances and other documents are in proper format and signed and coordinates recording of documents, track Council, committee and commission actions and process documents related to such actions, including certification, attestation, and sealing of documents as official City records; initiates and follows through processes to completion. Responds to the public; interprets and explains policies and procedures; responds to complaints and corrects the problems that arise; Transmits and tracks municipal contracts and agreements from execution to completion/expiration; Collects, compiles, organizes and stores items and information of historical importance to the City; Serves as custodian of the official City records and City Seal ; Provides clerical and administrative support to the City Council, City Superintendent, and other Department Heads; Conducts legal research, legislative research, and other research as necessary; Prepares routine correspondence, documents and reports; Provides responsible and complex administrative support to all Department Heads, City Council, and Mayor and performs related work as required; Performs general office duties, including scheduling appointments and meetings, making travel arrangements, screening calls and visitors, processing mail, filing, accounts payable, payroll, accounts receivable, records retention, copying and maintaining office supplies; Performs other job related duties as required.
