Full Job Description

Summary

The purpose of this position is to provide administrative support for the Municipal Court by providing clerical support to the Municipal Court Judge, data entry, and payment processing.

General Essential Duties & Responsibilities:

Important responsibilities and duties may include, but are not limited to, the following:
1. Enters data into the court software.
2. Prints letters, dockets, warrants, and other records as required.
3. Assists the Judge during court.
4. Combines case dockets, tickets, and other case paperwork that may be included in the packet to be used by the Judge.
5. Processes cases during court.
6. Fills out paperwork for defendants, probation orders, receipts, and prisoner dispositions.
7. Locates files for the Municipal Judge.
8. Provides reports of case dockets, warrants issued, and subpoenas issued.
9. Maintains and destroys court records as required by law. Provides customer assistance; answers the phone and addresses customers questions and complaints.
10. Files forms and attachments that are produced daily with their respective cases in preparation for court.
11. Research ordinances and statutes.
12. Performs other duties as assigned.

Knowledge of:
1. Legal requirements pertaining to court procedures and the maintenance of official court documents.
2. Office management procedures as they apply to the preparation and care of legislative records including computerized records management and accounting principles and procedures.
3. Computerized systems for indexing and archiving municipal legislative documents/activities.
4. MS Office programs.

Qualifications:

  • Must have a valid Driver’s License.
  • Will be subject to background investigation.
  • Must successfully complete pre-employment substance abuse testing and general physical.
  • Will be subject to random substance abuse testing.

2. Education and/or Experience
High School Diploma or equivalent.

3. Ability to:

  • Establish and maintain effective working relationships with City officials, staff, attorney’s and other criminal justice system staff, and the general public.
  • Demonstrate excellent work ethic and integrity.
  • Maintain confidential information.
  • Plan, assign, coordinate, and direct office operations to include monitoring performance and approving the hiring, disciplining, and terminating of subordinates.
  • Make decisions in accordance with laws, regulations, and general policies.
  • Prepare clear, concise, and organized business correspondence.
  • Communicate effectively verbally and in writing.

4. Physical Demands

  • This is primarily an office classification although standing in work areas and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone.
  • Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 10 pounds.

5. Work Environment
Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Employees may interact with upset members of the public or their representatives while enforcing departmental policies and procedures.

6. Training:

  • Continually participate in additional training related to job as requested by supervisor.
  • Ability to apply new techniques of staff training, knowledge of human behavior and behavior modification.
